We are seeking a creative, experienced Executive Support Professional-Office Coordinator who enjoys working within a fast-paced team environment that is mission-and results-driven. Reporting directly to the Vice President, this position provides support in a one-on-one working relationship and is the primary point of contact for internal and external matters pertaining to the responsibilities of the Executive Team. This in office, full-time position also serves as a liaison, organizing and coordinating outreach and relations efforts on the day-to-day as well as overseeing special projects. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong organizational, written, and verbal communication skills. This position must be able to maintain a realistic balance among multiple priorities. Depending on the skills sets and competencies of the individual, this position may allow for additional responsibilities to leverage the strength of the candidate. The successful candidate will be able to earn the respect of project teams, helping them to work cohesively to achieve the high standards R. C. Stevens is known for.
Job Responsibilities
- Compose and prepare correspondence that is sometimes confidential, arranging complex and detailed information for presentation.
- Interact daily with all levels of the organization to support our team members’ needs.
- Build and maintain external affairs contact databases including local, state, and federal officials; and other political, regulatory, community, and trade/industry associations.
- Manage an extremely active calendar of appointments, travel, and meeting arrangements.
- Communicate directly, and on behalf of the Vice President, with Board Members, Senior Management, and Vice President’s direct reports.
- Research, prioritize, and follow-up on incoming issues and concerns addressed to the Vice President, including those of a sensitive or confidential nature; determine the appropriate course of action, referral, or response.
- Procure office supplies and equipment maintenance within established budget.
- Log, schedule, and coordinate any office and building maintenance, and cleaning with outside vendors.
- Prepare outgoing mail and correspondence via U.S. mail, FedEx/UPS; distribute received mail.
- Prioritize conflicting needs, address items expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
- Work collaboratively with others to successfully advance and complete projects.
- Provide general office administrative support, including phone, email, proof communications, and prepare reports, memos, letters, spreadsheets, presentation materials, and other documents as necessary.
- Coordinate team building events.
- Act as liaison with community leaders in areas related to activities that may affect access to downtown areas.
Qualifications/Requirements
- Strong work tenure with a minimum of five years of experience in an office environment, preferably supporting executives or combination of education and work experience.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), and Adobe Acrobat.
- Bi-lingual (Spanish/English) preferred but not required.
- Must have a proven work history that exhibits a high level of confidentiality, trust, courtesy, tact, and efficiency when dealing with others.
- Outstanding organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
- Must possess highly proficient written and verbal communication skills.
- Forward thinking and proactive in approaching solutions to problems.
- Sound decision-making capability with a reputation for honesty and integrity.
- Emotional intelligence and maturity.
- Occasional travel is required, within a 20-mile radius.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced and changing environment.
